Facilities Assistant is providing support to facilities team onsite, especially to the Reception service, cooperating with all services in the office to provide the best possible environment for employees. Facilities Assistant is acting as a second point of contact for the office employees and scheduled duties. Supporting Facilities Coordinator to provide a cooperative environment for employees from different vendor companies, ensuring the highest possible level of engagement and proactivity Provide superior customer service to meet Client’s expectations Support in managing all vendor suppliers (known also as contractors) onsite - subcontractors on daily basis works, including cleaning, technical services, HVAC services, pest control, planting services etc. to ensure required standard of performance Daily, monthly and quarterly inspections and audits regarding different operational topics of office Conduct daily office inspections to ensure all aspects of the FM service delivery is functioning efficiently. All failures to be resolved positively in a timely manner Conduct daily building walks including all floors in full operation, focusing on office appearance and H&S, stock of office supplies, conference rooms and quality of provided services Reporting defects using internal tools to create tickets Identify areas where refurbishments are needed Offers collection as required, presenting offers in professional manner Support to financial process in anticipation of budget spends for office supplies and minor purchases Conduct regular health and safety audits to ensure all safety procedures are in place and working properly Follow all company guidelines and complete internal documentation and reports as required Conduct site inspections and assessments to ensure all building procedures and Performance measures are maintained at all times Support reception services every time required Office facilities connected procedures preparation (events, packages, conference rooms etc.) Space planning including moves supports Warehouses maintenance and stock taking, responsibility of items storage and conditions Maintain general office equipment and consumables (such as stationery), replenish with adequate supplies Building Evacuation Team coordination, first aid and AED trainings organization support Office events planning and organization with the Facilities team Act as a 2nd point of contact for all employees regarding facilities tasks and issues Bring up improvements ideas - for operations and work environment Cooperate with Health and Safety department to arrange various initiatives (H&S week, accessibility audits) Fluent Polish and English in speaking and writing is a must Bachelor's degree at least. Master’s degree is preferred Job related experience is required- minimum 2 years in similar multicultural and constantly changing environment Ability to work flexibly with minimal supervision Ability to support Reception service on daily basis, ability to cover reception duties when required Ability to express information in a manner appropriate to different levels of people Excellent quality of verbal and e-mail communication Numerate and PC literate Punctuality, meticulousness, reliability and regularity Ability to deal with stressful situations Contract of employment Great work atmosphere and working conditions Possibility to learn and grow further with CBRE GWS Be a part of interesting international project in dynamic fast growing company Necessary training Private medical care, co-participation in sport card and facilitation in life insurance
